Master Event Management in Q-Play: Step-by-Step Guide

Guide to Event Management

Event Management is accessible from the left navigation menu in Q-Play. It is where you create and manage events — a way to make a specific presentation temporarily take over one or more players, so that only that presentation is shown during the event. Events can be one-time with a fixed start and end date, recurring on a weekly schedule, or a combination of both.

Creating an Event

  1. Click Event Management in the left navigation menu.
  2. Click New Event in the top right.
  3. Give the event a title.
  4. Optionally set a start and end date under Event Duration. Leave empty if you want the event to run indefinitely.
  5. Click Add Presentation to attach the presentation that should display during the event.
  6. Optionally add recurring time schedules under Time Schedules to define when the event should be active on a weekly basis.
  7. Click Create.

Once the event is created, open it again to assign players to it.

Assigning Players to an Event

  1. Find the event in the list and click the three-dot menu or click on it to open it.
  2. Go to the Players tab.
  3. Click Add Players to assign one or more players to the event.
  4. Click Update.

The Players tab is only available when editing an existing event, not when creating a new one. All players assigned to the event will display the event presentation when it is active.

Events Overview

The Events page lists all events with their title, assigned presentation, number of players, start and end date, any recurring schedules, and whether the event is currently active. Use the search bar or filters to find specific events.

Active toggle

Each event has an active toggle. Disabling it pauses the event without deleting it, so it will not take over any players until it is enabled again.

Event duration

The start and end dates define the overall window in which the event can be active. If left empty, the event runs indefinitely.

Time schedules

Time schedules define recurring weekly time slots within the event duration. For example, an event could run every Monday and Friday from 08:00 to 16:00. You can combine a date range with recurring schedules for precise control over when the event is active.
