Microsoft Planner App

Microsoft Planner App

The Microsoft Planner app shows tasks from a plan in Microsoft Planner on your screens. You can show the whole plan as a board or a list, a single bucket, or the tasks that are overdue or coming up.

The app gets its data from the Microsoft Planner integration, so set that up first. See Microsoft Planner integration.

Find the Microsoft Planner app in the DesignTool and click it to add it to your slide. See Working with apps in Q-Play if this is your first time adding an app.

1. Choose a template

The app doesn't show anything until you choose a template. Under General, click Choose template and pick one of the four templates:

  • Board: the plan as columns, one per bucket, like the Board view in Planner.
  • Deadlines: tasks grouped by whether they are overdue, due today or coming up.
  • Grid: every task as a row in a list, like the Grid view in Planner.
  • Single bucket: one bucket shown as large cards across the whole app.

You can change the template later by clicking Choose template again.

If you have only one Microsoft Planner integration with one job, the app uses it automatically. If you have more than one integration or job, a Data sources section is shown under General, where you choose which one to use. See Working with apps in Q-Play.

2. Adjust the template settings

Under Template settings, you choose what the app shows and how it looks. The settings depend on the template you chose, but all templates have these:

  • Hide completed tasks: hides tasks that are marked as completed in Planner.
  • Date format: how dates are shown.
  • Font (all text): the font used for all text in the app.
  • Colors and text sizes for headings, columns, rows or cards, depending on the template.
  • Auto-scroll: scrolls the content automatically when there are more tasks than there's room for in the app.

The settings that are specific to each template are described below.

Board

  • Show title: shows the name of the plan above the columns.
  • Hide empty buckets: hides columns for buckets with no tasks.
  • Max tasks per bucket: the maximum number of tasks shown in each column. 0 shows all tasks.
  • Show due dates, priority, progress and assignees on each card.
  • Show task count per bucket: shows the number of tasks in the column header.

Deadlines

  • Heading: the heading shown above the list. Leave it empty to hide the heading.
  • Show: choose Overdue + upcoming, Overdue only or Due within N days.
  • Max tasks: the maximum number of tasks shown. 0 shows all tasks.
  • Show relative time: shows dates as, for example, "3 days overdue" instead of a date.
  • Show bucket and Show assignees: shows which bucket each task belongs to and who it's assigned to.
  • Overdue accent color: the color used to mark overdue tasks.

Grid

The task name and bucket are always shown. You choose which other columns to show:

  • Show title: shows the name of the plan above the list.
  • Show "Assigned to" column, Show "Due date" column, Show "Status" column and Show "Priority" column.

Single bucket

  • Bucket name (exactly as in Planner): the name of the bucket to show. Write it exactly as it's spelled in Planner, for example Marketing.
  • Heading: the heading shown above the cards. Leave it empty to use the bucket name.
  • Max tasks: the maximum number of tasks shown. 0 shows all tasks.
  • Show due dates, priority, progress and assignees on each card.

3. App settings

Under App Settings, you can set:

  • Language: the language of the texts the app adds itself, such as the column and section headings.
  • Fetch new data every: how often the app fetches the latest data from the integration. How often the integration fetches data from Planner is set in the job's Repeat every setting. See Microsoft Planner integration.
